Increasing Productivity in a Work Space

January 9th, 2009

You can increase productivity in a work space through the ways that I am going to tell you below-

1. Use RememberTheMilk to keep track of what you need to do. (Productivity Level Increase: High)

RememberTheMilk is a Web 2.0 service that is basically an online checklist/planner where you can put down the things you need to do. Good for organization, and easy for people who don’t want to make a planner in real life but find making spreadhsheets in your spreadsheet program is too troublesome, but good enough for people who need to plan.

It is very feature rich and probably exceeds the real life planner, and if you are going to go offline/won’t have internet access, it is Google Gears enabled so you can use it even if you do not have an internet connection in your browser. (The details are saved within your computer then synced back online after you reconnect.) If you are going offline and will be away from your computer but still need to see what you still need to do, there is a printer-friendly version that you can print out.

There is also a RememberTheMilk application for the iPhone and iPod Touch, so even if you are not at your computer, you can still see what you need to do (If you are using the 3G network/WiFi for the respective devices.)

2. Using two or more monitors. (Productivity Level Increase: Great)

By having two or more monitors (Two or more in total), you can increase productivity because of the extra screen space. While this may not help some people, for those people who have applications running (Such as stock marketing, etc) that need looking at but not constant attention, but you do not need to switch windows using WinFlip (If you’re using Vista) or Expose (If you’re using Mac), but just look to the next screen.

You can also heighten productivity, for example, if you are doing statistics for stock marketing, you could have your stats/browser open and a spreadsheet on the other monitor. While you can resize it and it will still work, having the full “power” and usability of a full screen is better.

3. Clean out your hard drive/upgrade your computer (Productivity Level Increase: Depends on how much the hard drive is slowing you.)

it must surprise you, but if you are using a slow computer, time will be used up because of the slow loading speeds, which decreases productivity overall, unless you are buying a new computer every year/two years or tuned it up.

You can clean up your hard drive by defragmenting your disc (Which is making so that it runs faster), if it is getting outdated you could install more RAM/upgrade the processor and hard drive, or you could just send it to your company/local technician to speed it up*.

4. Use a Noting Application (Productivity Level Increase: Great/High)

If you are looking for how to increase your productivity, then you’re probably in the industry that you need to take notes on/use notes. If you want to save space or make the notes that you take smaller so that you can quickly jot down something and send it to your mailbox/online service, then EverNote is the best application you can use for it. Evernote runs on Windows, Mac, and iPhone, and syncs all the notes you have uploaded through all your EverNote enabled devices so that if you are using two different computers, one at work/for traveling and one at home, you don’t have to email yourself everytime you make a note and possibly lose/forget it. Evernote helps you keep your computers up to date by syncing the notes. It comes with 40MB bandwidth, which is reset every month.

You can upgrade Evernote to it’s premium services which offers more bandwidth (Amount you can upload/share between computers-500 MB per month), stronger security, and you can transfer anything through it, from a short presentation you made for work, a document you are writing for a report, some photos you wanted to put on your other computer-This saves you all the work from emailing it to yourself each time. You get a higher piority for customer support and no ads on public notebooks that you can share and link around to your friends, family, colleagues, …

What do you use for increasing your productivity? Comment below.
